You can reach the whole team at info@cairnfield.com. We read every message ourselves; there is no ticketing system and no assistant filtering for us. In practice this means a short, specific email gets a useful reply faster than a long general one.
What to include in a first message
To help us respond well, include four things. First, the destination: country, region or city, and the scale of tourism you are dealing with if you know it. Second, the decision pending: what you are trying to decide or resolve right now. Third, your timeline: when you need an answer or a piece of work completed. Fourth, an indicative budget range, even a rough one, so we can tell you honestly whether we are the right fit.
You do not need a finished brief. A paragraph covering those four points is enough for us to understand the situation and suggest a next step, whether that is a short diagnostic, a longer engagement, or a frank suggestion that a different kind of adviser would serve you better. If you have existing documents such as a draft strategy or a visitor survey, mention them rather than attaching everything at once.
Response times
We aim to reply within two working days, Monday to Friday. Our working hours span European and West African time zones, so a message sent in the morning is often answered the same day. If a deadline is tight, say so in the first line of your email and we will do our best to move faster than our usual pace.
If your question falls outside our areas, we will often suggest who else to approach rather than leave you without a lead. We keep a short list of independent specialists in adjacent fields and share it freely when it is useful.
Capacity
We take a limited number of new engagements each quarter. This is not a sales device; it is how a three-person practice protects the quality of its work. When a quarter is full we will tell you the earliest realistic start date rather than stretch ourselves thin. If your timeline is fixed and we cannot meet it, we will say so early rather than waste your time.
After you write
If the work looks like a fit, we suggest a short call to talk through the situation properly before proposing anything. You will then receive a written proposal outlining scope, outputs, timing and fee. We do not charge for the first conversation, and we do not send proposals for work we cannot deliver.
We look forward to hearing from you. Every enquiry is read by one of the three of us, and we will give your situation the same care we bring to every engagement.
